Front Desk Coordinator

JOB SUMMARY

Provide Hubble Homes’ first impression to callers and visitors, setting the tone for experience with the company from first phone call or office visit. Provide an upbeat, positive customer experience. Display a friendly, smiling face and a helping hand.

PRIMARY RESPONSIBILITIES include the following (additional duties may be assigned):

  • Welcome and announce visitors to the appropriate personnel
  • Answer incoming telephone calls, forward to appropriate personnel or take messages; answer questions about the Hubble Homes organization
  • Coordinate conference room reservations; maintain (clean/prepare) reception, kitchen, lobby and conference rooms
  • Manage daily incoming, outgoing and express mail; receive and distribute deliveries 
  • Assist with catering for meetings and company events
  • Update company intranet information (employee phone list, birthdays and anniversaries)
  • Maintain office and break room supplies
  • Distribute vendor payments; obtain signatures on lien releases
  • Assist Accounts Payable with coding receipts
  • Manage facility maintenance

RELATIONSHIP TO OTHERS

Report directly to Senior Accountant. Works with all employees in handling telephone calls, arranging for deliveries and ordering supplies

LIMITS OF AUTHORITY

Has authority to carry out directives of the Senior Accountant and Controller. Exercise independent judgment and discretion in performing the duties outlined. Take initiative to help with other office responsibilities.

KNOWLEDGE AND EXPERIENCE REQUIRED

  • At least three years of Customer Service and/or reception experience
  • Intermediate to advanced Microsoft Office skills including Word, Excel, and Outlook
  • Professional telephone skills
  • Good listening skills
  • Professional behavior

  • Strong organization skills
  • Excellent communication skills—written and verbal
  • Ability to manage several projects simultaneously
  • Must be a motivated self-starter
